If you’re planning to travel using University funds, all arrangements need to be made through your department. Penn State works with several local travel agencies that are authorized to direct-bill travel expenses, making the process easier for you. To get reimbursed, you’ll need to use one of these certified agents. For a list of approved travel agencies, just reach out to your departmental contact or visit Penn State’s Travel Services website. For reference, the airport code for State College is SCE.

Once you’ve booked your travel, ask the travel agent to send a copy of your itinerary to your departmental contact person. They’ll take care of preparing the direct bill form. While you’re traveling, remember to keep all original receipts for any expenses you plan to claim. You’ll need to give the original air passenger receipt to your departmental contact, even if it’s being direct-billed, so they can process your travel expense form and get you reimbursed.

Please note that sometimes there’s a charge for changing reservations, so keep that in mind when booking. If you’re unsure about anything related to travel arrangements, don’t hesitate to reach out to your departmental contacts well before your departure—they’re happy to assist!

Global Safety Network Record of Travel Required for International Travel

Anyone conducting University-affiliated international travel must provide travel information at the Global Safety Network (GSN) prior to travel. As an office, Penn State’s Global Safety is a resource for you, the Penn State traveler. They recognize that the purpose of your travel is to fulfill Penn State’s vision of enhanced global engagement. GSN documentation is a required part of your travel expense reporting and your reimbursement is contingent on having GSN documentation, regardless of the source of funds.
